Ace Cafe Motorcycle & Custom Show

26th-28th Feb 2010, Alexandra Palace

TERMS AND CONDITIONS OF ENTRY

The following are the basic terms and conditions that you are agreeing to by competing at the Ace Cafe London Motorcycle and Custom Show 2010. In these terms and conditions, "the Competitor" means all employees, servants and the agents of any company, partnership, firm or individual to whom space has been allocated for the purposes of competing in the Custom Show. "The Organisers" means Instantfocus Ltd, its appointed agent ESN, Ace Cafe London or Dealer-World/AMD Magazine.

OFFICIAL ENTRY FORM

Completion of the Official Entry Form is essential. No participation will be permitted without it.

All entries are accepted subject to, and with acceptance of, these event terms and conditions. All entries remain provisional until you register your bike(s) at the event itself.

REGISTRATION

Bikes must be registered in advance of the event date. Space is limited and subject to change, and registration can be closed without notice. Each bike will be issued an identifying number before their participation is confirmed.

Bikes must be presented between 2:00pm and 8:00pm on Thursday February 25th 2010. Bikes arriving outside these times without prior agreement of the organisers will be refused entry. For reasons of safety, each bike must have its filler cap sealed shut and the tank must not contain more than 2.5 litres (1/2 gallon) of fuel, or the minimum consistent with the performance of the vehicle, whichever is less.

NUMBER OF BIKES

The organisers reserve the right to set a limit on the number of bikes any single builder may enter. Please discuss with us in advance, and indicate planned number on the Official Entry Form.

ELIGIBILITY

Employees and families of employees of the organisers are not eligible to enter. The decision to permit or decline participation for any reason, disclosed or undisclosed, is entirely and solely at the discretion of the organisers and no correspondence or dialogue or any other form of communication or explanation for any such decisions will be entered into or provided.

Specifically the organisers reserve the right to deny participation to any competitor and motorcycle on the grounds of decency related matters and taste. This includes the use and display of messages, forms of words, images or designs that are considered by the organisers to be unsuitable; and to competitor behaviour or behaviours that the organisers, also at their sole discretion, deem inappropriate.

CLASSES

Any bike can be entered into the main 'Freestyle' class. Subject to the nature of your bike(s) you alternatively enter any of the other classes that may also be offered, at the time of registration (eg. 'Modified Harley-Davidson', and/or any other classes the organisers decide to devise). A bike may only be entered into one class.

WORKING ORDER

All bikes must be capable of starting and running. Entrants may be required to prove that they are 'runners' in order to claim an award.

PHOTOGRAPHY

Where possible, all bikes will be photographed for use in future promotions of, but not limited to, the Ace Cafe London Motorcycle and Custom Show.

All entrants accept that copyright of all or any images or information concerning them or their bikes arising from their participation are the property of the organisers, and that these may be shared with all or any other media for royalty/payment and liability-free use at the sole discretion of the organisers. Participant and attendee photography for personal use is permitted. Permissions for image or information usage will never be unreasonably denied. The organisers simply ask for naming rights and credits to be observed, stated and recognised/acknowledged as appropriate.

ACCEPTANCE OF RULES

Participation in the event will constitute acceptance of these and all or any other rules or regulations pertaining to participation in, and operation of, the event and the facility.

Participation in the Ace Cafe London Motorcycle and Custom Show does not imply any involvement in or endorsement of any kind whatsoever, by the organisers, of that builder or that builder's company; of his work, of the quality (or otherwise) of that specific motorcycle; or in any other way or of any other kind, of all or any activities (commercial or otherwise) of the individual or business concerned.

BIKE DISPLAYS

All entrants will be required to provide a brief technical specification of their entered bike(s) in advance, which will be used on the display placard identifying their bike. Please contact the organisers if you intend to use any props to enhance the bike display, as only certain items will be permitted. Business cards for contact purposes can be placed on or next to the bike.

Bikes must remain in place until the show closes at 5:00pm on Sunday February 28th, and must be removed by 9:00pm.

AWARDS

Awards will be presented to the top three bikes in each class. The organisers reserve the right, without notice, to move a competing bike into the Freestyle class if less than three bikes are registered at the event for the class in which it has been entered.

A top prize of £5,000.00 will be provided to the builder of the winning bike as a contribution towards the costs incurred in participating at the Official World Championship of Custom Bike Building at the next Sturgis Motorcycle Rally in August.

The prize is contingent on participation at the event. All arrangements for travel, accommodation and bike freight are the responsibility of the competing builder.

The awards ceremony will be held at 3.30pm on Sunday February 28th.

JUDGING

Judging will be conducted by peer review and a VIP panel. One voting form will be issued per builder on registration regardless of the number of bikes entered. Competitors cannot vote for their own bike/s.

Correctly completed forms must be received back at the Registration Desk by the stated deadline in order to be included in the voting process. The decision of the judges is final.

INSURANCE, INDEMNITY AND CLAIMS

All costs connected with motorcycles appearing at, and being removed from, the Ace Cafe Motorcycle and Custom Show are, unless separately and specifically contracted by the organisers in writing, entirely the responsibility of the entrant.

Each competitor exhibits entirely at their own risk. The competitor is responsible for all claims arising from personal injury or damage arising in connection with entry to the exhibition and anything permitted, omitted or done thereon or there from during the period of the exhibition of the registration and removal periods caused directly or indirectly by the competitor or any contractor, subcontractor, servant, agent, licensee or invitee of his or the act, omission or neglect of such person, or by the exhibited motorcycle, machinery or other article of the competitor or any servant or agent of his. The competitor will indemnify the organisers in respect of each and every such claim, and all actions, proceedings, claims and demands in respect of all such claims.

The organisers will take such precautions as they may consider advisable for the precaution of all motorcycles exhibited, but will not at any time be responsible for the loss of, or damage to, or safety of any exhibited motorcycle, empty cases, tools or other property of the competitor or any other person under any circumstances whatsoever. All competitors will be expected to effect their own insurance against fire and loss and shall claim against such insurance wherever possible in priority to making any permitted claim against the organiser.

In the event of any person sustaining loss, injury or damage by any machine, implement or article belonging to a competitor, the said competitor shall relieve the organisers of all claims, actions or suits made or expenses incurred in connection therewith.

The competitor agrees to free the organisers and Alexandra Palace of all responsibility for loss or damage arising directly through any Act of God, War, Strikes, Lockouts, Trade Disputes, Fire, Flood, Drought or from riots or similar commissions within or without the hall or premises, or any other causes beyond the organisers' control or owing to the inability to procure materials or articles except at enhanced prices due to any of the foregoing causes.

Completion of the Official Entry Form and having a motorcycle placed on display indicates that you have read and understood the terms and conditions, and that you unconditionally accept them.
